Privacy Policy

This Privacy Policy explains how TPNI handles personally identifiable information. “Personally Identifiable information” is defined as information submitted to and/or collected by TPNI via our website. Such information can be collected when an individual submits his or her name and/or address. You will be informed what information is required, and what information is optional. TPNI may also collect information about visits to the TPNI website without an individual actively submitting information through various automated digital means, such as cookies and internet tags. Although the information collected by such automated digital means does not directly identify specific individuals, internet web browsers automatically transmit information to the TPNI website regarding the software a user’s computer is operating, such as IP Address and browser version. Some information collected automatically, such as IP addresses, may be considered personal data under laws such as the EU General Data Protection Regulation (GDPR), and we treat it accordingly.

USE AND DISCLOSURE OF INFORMATION

Any Personally Identifiable Information individual users provide will be used only by TPNI employees for the purposes of fulfilling a specific client request. TPNI will not share this information with any third party without the consent of an individual user. TPNI will not disclose any Personally Identifiable Information it gathers from an individual user, except as set forth in this Privacy Policy or as specifically agreed to by such individual user. TPNI may release Personally Identifiable Information to third parties without user consent: (1) to comply with valid legal requirements such as a law, regulation, search warrant, subpoena or court order; or (2) in special cases, such as in response to a physical threat, to protect property or defend or assert legal rights. In the event that TPNI is legally compelled to disclose Personally Identifiable Information to a third party, TPNI will attempt to notify the involved user unless doing so would violate the law or court order. In addition, TPNI may disclose Personally Identifiable Information as further described below.

TPNI operations and maintenance contractors sometimes have limited access to Personally Identifiable Information in the course of providing services to TPNI. Access to an individual user’s Personally Identifiable Information by these contractors is limited to the information reasonably necessary for the contractor to perform its limited function for TPNI. TPNI requires its operations and maintenance contractors to: (1) protect the privacy of any individual user’s Personally Identifiable Information consistent with this Privacy Policy, and (2) not use or disclose Personally Identifiable Information for any purpose other than providing TPNI with services, as required by law.

When you link your TPNI account with supported Social Media Platforms such as YouTube, Twitter, Facebook, and LinkedIn, we may have access to information regarding your Social Media Platform accounts, and you will be notified at that time regarding what information we can access. TPNI Engage will only use your Social Media Accounts to post content you are asking us to post. TPNI Engage will never go into your accounts without you requesting us to.

LEGAL BASES FOR PROCESSING

Where the GDPR applies, we process personal information on the following legal bases: (a) Consent — when you submit a contact or demo request form, or opt in to communications; (b) Contract — when we process registration data to deliver an event or service you requested; (c) Legitimate interests — for site security, fraud prevention, and anonymous performance measurement; (d) Legal obligation — where retention is required by law. You may withdraw consent at any time by contacting us.

YOUR CONSENT

By using this site, you agree to the terms of this Privacy Policy. Whenever you submit information via this site, you consent to the collection, use and disclosure of that information in accordance with this Privacy Policy.

SECURITY

This site takes reasonable steps to protect Personally Identifiable Information as you transmit it to our site and to protect such information from loss, misuse, unauthorized access, disclosure, alteration or destruction. You should keep in mind that no Internet transmission is ever completely secure or error-free. In particular, e-mail sent to or from this site may not be secure.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes; all the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

COOKIES AND SIMILAR TECHNOLOGIES

This website does not use advertising, analytics, or tracking cookies. We use only strictly necessary technologies: a browser preference stored locally to remember your display settings, and a session cookie used by our event registration forms (provided by A2Z Events/Personify) to keep your form submission working. Because these are essential for the site to function, they do not require consent under EU law. If we introduce non-essential cookies in the future, we will request your consent first and update this policy.

SERVICE PROVIDERS (DATA PROCESSORS)

We use a small number of service providers who process personal information on our behalf: A2Z Events / Personify (contact, demo request, and event registration forms), our web hosting provider, and a website performance service that receives anonymous page-speed metrics. These providers are bound by data processing agreements, may only use your information to provide services to us, and are required to keep it confidential.

INTERNATIONAL DATA TRANSFERS

TPNI is based in the United States and information submitted through this site is processed on servers located in the United States. Where we receive personal data from the European Economic Area, the United Kingdom, or Switzerland, we protect it in accordance with this policy and rely on appropriate safeguards such as Standard Contractual Clauses.

DATA RETENTION

We retain personal information only as long as needed for the purposes described in this policy: contact and demo inquiries for up to 24 months after our last interaction, and event registration records for the period required for legal, accounting, and business purposes. Data no longer needed is deleted or anonymized.

Digital Wallet Passes
(Apple Wallet & Google Wallet)

The TPNI Events mobile app offers the ability to add your event credentials to Apple Wallet (on iPhone) or Google Wallet (on Android) as a digital pass. When you choose to add a pass:
Information included on the pass.** Each pass contains your name, your conference badge identification number, the event name, your registered company and job title (where provided to TPNI), and a QR code encoding your badge identifier for use at event check-in, sessions, and exhibitor booths.
How passes are generated.  The pass is generated on TPNI’s servers, signed with TPNI’s signing credentials, and delivered to your device. The pass file is then handed to Apple Wallet or Google Wallet for storage on your device.
Apple Wallet. When you save a pass to Apple Wallet, the pass is stored locally on your device. Apple does not receive your personal information from TPNI as part of this process. Apple’s handling of Wallet passes is governed by Apple’s Privacy Policy, available at https://www.apple.com/legal/privacy/.
Google Wallet. When you save a pass to Google Wallet, the pass content (including your name, badge ID, company, title, event name, and QR code) is transmitted to Google for storage in your Google Wallet account and synchronization across your Google devices. Google’s handling of Wallet data is governed by Google’s Privacy Policy, available at https://policies.google.com/privacy.
Your control.  You can remove a saved pass at any time directly from the Apple Wallet or Google Wallet app on your device. Removing the pass does not affect your TPNI account or your event registration. You can also delete the TPNI Events app, which prevents new passes from being generated.
Retention. TPNI does not retain a separate copy of your saved wallet pass beyond what is required to regenerate passes on demand from your existing registration record. Pass content is derived in real time from your TPNI registration data at the time you request a pass.
Children. TPNI events are intended for business professionals; we do not knowingly issue wallet passes to individuals under 13.

TPNI Console Mobile App

The TPNI Console mobile app (“the app”) is provided by The Pulse Network for event organizers and authorized onsite staff. To use the app you sign in with a TPNI Console account created for you by your organization’s administrator.

Information the app collects

When you sign in and use the app, we collect and process the account information associated with your TPNI Console login: your name, email address, and user/account identifier. This information is used only to (1) authenticate you and provide the app’s functionality, and (2) manage your account. The app does not collect your location, contacts, photos, or advertising identifiers, and it contains no advertising or third-party analytics. All data transmitted between the app and our servers is encrypted in transit (HTTPS). We do not sell your personal information or share it with third parties for their own purposes.

When you are signed in, the app also displays event and attendee records belonging to your organization. That information is your organization’s business data, which we process on its behalf; it is not collected from you as an app user.

YOUR RIGHTS UNDER GDPR

If you are located in the EEA, UK, or Switzerland, you have the right to: access the personal data we hold about you; correct inaccurate data; request deletion; receive your data in a portable format; restrict or object to certain processing; and withdraw consent at any time. To exercise any of these rights, email customerservice@tpni.com. with the subject line “Data Rights Request” – we will respond within 30 days. You also have the right to lodge a complaint with your local data protection supervisory authority.

Data Deletion Requests

You can request deletion of the personal information associated with your account at any time.

The Pulse Network collects a limited set of account information – your name, email address, and account user ID – to provide sign-in and the event-management functions of our platform and apps (including the TPNI Console mobile app). To request deletion of this information, email customerservice@tpni.com from the email address associated with your account, using the subject line “Data Deletion Request.”

We will verify your request and delete the associated personal information within 30 days. We may retain certain information where required for legal, accounting, security, or legitimate business purposes (for example, records of event transactions). Deleting your account information will also end your access to any TPNI accounts and apps that rely on it.
